Home > Life Insurance Contracting Process

1 You will receive an email invitation from APEXA

Our Contracting Department will invite you to join APEXA; you will receive the invitation via email, from notifications@apexa.ca, and the subject line will read “Carte Risk Management has invited you to join APEXA” – please check your junk mail folder.

Once you’ve received the email, you will be given two options:

  1. GET STARTED
    You will choose this option if you’ve never before been invited to APEXA, nor never before logged in to APEXA. If you choose this option, see below for next steps.
  2. ADD MY CONTRACTS
    You will choose this option if you have previously been invited to join APEXA by another MGA, you have already logged in to APEXA and have already created your APEXA profile. If you choose this option, you will simply be prompted to log in to your existing APEXA profile.

If you chose the option “Get Started” and are logging in to APEXA for the first time, please now follow these steps:

  1. Complete the registration form to create your account, including your name, email address and a password. Click Register.
  2. A pop-up box containing a Privacy Consent form will appear. Please read this form carefully. Once you have reviewed thoroughly, click Accept.
  3. Once you click Accept, a message will display stating “Your Account Has Been Registered Successfully”. Please then navigate to the email inbox you used to register the profile.
  4. In your email inbox, you will be sent a confirmation email to verify your email address; click “Confirm Account” to validate your email address and begin the account setup process.
  5. You can now proceed to log in to APEXA to set up your profile. Click Proceed to Login.
  6. Ensure your account credentials are correct, and then click Login.
2 You will complete your APEXA profile setup
  1. As soon as you log in to APEXA, a pop-up box containing a “Website Terms of Use” form will appear. You must read and accept this in order to proceed with profile set up. The Accept button will become clickable once you have read (and scrolled through) the entirety of the terms.
  2. “Welcome to the APEXA Advisor Portal” will display. Click Begin Profile Setup.
  3. Now you will be prompted to setup your APEXA profile, consisting of 8 sections – Details, Addresses, Phones, E&O, Licenses, Education, Sponsorship and Compliance.
     
    Please ensure you have these documents on hand as they must be entered in the system:
    • Your residential & business address history for the last 5 years
    • Your driver’s licence number
    • 3 business references
    • Residential and business phone number(s)
    • BE PREPARED TO UPLOAD DIGITAL COPIES OF:
      • Personal provincial licence(s)
      • E&O cover age policy
      • Articles of Incorporation (if applicable)
      • VOID Cheque
      • The insurance companies that you have placed business with as well as an approximate total premium for life products (if known)(this information can be uploaded at a later date if not available at the moment)
      • AML-ATF Policy (click here for your use)
      • Needs Based Sales Practices (click here for your use)
      • Privacy Policy (click here for your use)
      • Needs Analysis Questionnaire (click here for your use)
      • Advisor Disclosure (click here for your use)

a) You will request contracts in APEXA
b) You will complete contracts and sign


Once you’ve completed your APEXA profile setup, you must proceed to establishing contractual relationships by requesting contracts in APEXA.

IF YOU REPORT TO AN AGA

  1. You must first establish a contractual relationship with your AGA (2-party contract). Please follow these steps:
    • From your left-hand side blue menu bar, click on Contract Requests
    • From your left-hand side blue sub-menu bar, click on New Request
    • From the list of options, choose I want to request a contract with a new MGA/AGA
    • Click on Next
    • From the list of options, choose I want to request a contract directly with the MGA/AGA
    • Click on Next
    • From the drop-down menu, search for and choose the name of your AGA
    • Click on Submit
  2. Your AGA will receive your request and will approve it. Now you must establish a contractual relationship with Carte Risk Management Inc. (your MGA) through your AGA (3-party contract). Please follow these steps:
    • From your left-hand side blue menu bar, click on Contract Requests
    • From your left-hand side blue sub-menu bar, click on New Request
    • From the list of options, choose I want to request a contract with a new MGA/AGA
    • Click on Next
    • From the list of options, choose I want to go through another corporation to contract with the MGA/AGA
    • Click on Next
    • From the drop-down menu, search for and choose the name of your AGA
    • From the drop-down menu, search for and choose Carte Risk Management Inc.
    • Click on Submit
  3. Your AGA will receive your request and will approve it. Your request will now be sent to Carte Risk Management Inc. whom will approve it and prepare a contracting package for you to complete and sign within APEXA. Once Carte Risk Management Inc. sends you the contracting package for action, you will receive an email from notifications@apexa.ca; please then follow these steps:
    • Log in to APEXA
    • On your main dashboard, at the bottom, under Contracts Assigned to Me, you will see the contract from Carte Risk Management Inc.; click on it to open
    • Please follow the prompts to fill out each tab in the contracting package, sign and submit

IF YOU REPORT DIRECTLY TO THE MGA

  1. You must first establish a contractual relationship with Carte Risk Management Inc. (your MGA) (2-party contract). Please follow these steps:
    • From your left-hand side blue menu bar, click on Contract Requests
    • From your left-hand side blue sub-menu bar, click on New Request
    • From the list of options, choose I want to request a contract with a new MGA/AGA
    • Click on Next
    • From the list of options, choose I want to request a contract directly with the MGA/AGA
    • Click on Next
    • From the drop-down menu, search for and choose Carte Risk Management Inc.
    • Click on Submit
  2. Your request will be sent to Carte Risk Management Inc. whom will approve it and prepare a contracting package for you to complete and sign within APEXA. Once Carte Risk Management Inc. sends you the contracting package for action, you will receive an email from notifications@apexa.ca; please then follow these steps
    • Log in to APEXA
    • On your main dashboard, at the bottom, under Contracts Assigned to Me, you will see the contract from Carte Risk Management Inc.; click on it to open
    • Please follow the prompts to fill out each tab in the contracting package, sign and submit

4 You will complete criminal background check

Within 24 hours of having received the contracting package from Carte Risk Management Inc. (from No.3 above), you will receive an email from MyBackCheck.com advising that APEXA has requested a BackCheck. This email contains the link that you will need to set up your account on the BackCheck portal. Please check your junk mail folder for this email. Please then follow these steps:

  1. Click on the link from the email to be directed to the registration page. You will be asked to provide personal information, choose a username (you will be required to remember your username), enter a password and select some security questions for which you will need to provide answers. After completing all of the registration steps, you will need to click on Register to complete your account setup.
  2. After having clicked on Register, you will receive confirmation that your registration was successful. Your next step is to access your email inbox to verify your account. You will receive a confirmation email; to activate your account, you will need to click on the link provided in the email.
  3. After having confirmed your account, you will be redirected to the login page for MyBackCheck.com; please enter your login credentials and click Log In.
  4. Once logged in, you will be re-direcred to the BackCheck portal landing page; to access your background check invitation, you will need to click on the Inbox tab across the top left-hand side of your screen. Here, in your Inbox, you will see the invitation from APEXA; click on it to open.
  5. Once you click on the invitation, a pop-up window will appear on your screen describing the type of background check that BackCheck is performing on behalf of APEXA; please click on Accept & Continue to accept the invitation for the background check.
  6. After accepting the invitation, you will be directed to the confirmation page that you have successfully accepted the invitation and will be re-directed to the “myAccount” area of the portal to complete the online form. Please then click on the myAccount tab across the top left-hand side of your screen.
  7. Under the myAccount tab you will now see the pending Canadian Criminal Record check; click on Continue to begin
    • Under Step One, please answer all fields with the personal information requested
    • Under Step Two, please disclose your criminal record (if any)
    • Under Step Three, please review the information you’ve provided and consent to the check
    • Under Step Four, please start the verification of your identity by reading through the disclaimer on your screen, tagging the little box at the bottom of your screen to confirm your understanding of the disclaimer, and clicking on Continue to Identity Challenge Questions
      • If your identification verification was successfully verified, the process will end. You will be made aware that your background check was successful and you can exit the portal.
      • If your identification verification was unsuccessful, you will be given an option to Try Again, where you will be requested to answer additional identification verification questions or to proceed to a Canada Post office to verify your identity in person. NOTE: Once MyBackCheck.com completes the background search, they will send a file with the results to APEXA; APEXA then posts the results on your APEXA profile with 2 business days.

5 You will correct missing data in your profile

Once you’ve completed, signed and submitted the contracting package back to Carte Risk Management Inc. (from No.3 above), and once your criminal background check results have been posted to your APEXA profile (from No.4 above), Carte Risk Management Inc. will review your APEXA profile for errors and/or missing information (if any).

If applicable, Carte Risk Management Inc. will send you an email detailing the errors and/or missing information that you will need to fix in your APEXA profile; kindly make the requested corrections to your APEXA profile. Once completed, please communicate with Carte Risk Management Inc. to inform that your APEXA profile has been corrected.

If not applicable, please skip directly to No.6 below.

6 MGA will approve and onboard you

If applicable, once you’ve made the corrections to your APEXA profile, Carte Risk Management Inc. will review your APEXA profile again, to ensure that all requested corrections have been implemented successfully.

Once Carte Risk Management Inc. is satisfied that your APEXA profile is complete and correct, it will perform its due diligence process, by reviewing the information in your profile, your credit history, your criminal background and will make a decision whether to approve your contract.

If Carte Risk Management Inc. decides to approve your contract, it will ratify your contracting package (from No.3 above) and approve you within the APEXA system. The MGA will then onboard you internally and will send you an approval notification via email.

7 You will request new carrier contracts/contract transfers

Once you’ve been approved and onboarded with the MGA, you can now start to request new insurance carrier contracts and/or the transfer of your existing insurance carrier contracts from your former MGA to our MGA.

Currently, the following insurance carrier contracting can be performed within the APEXA system with our MGA:

  • Canada Life
  • Canada Protection Plan
  • Desjardins Financial Security
  • Empire Life
  • Equitable Life of Canada
  • Foresters Financial
  • Humania Assurance
  • Industrial Alliance
  • RBC Life Insurance Company
  • Specialty Life Insurance Company
  • SSQ Insurance

The following insurance carrier contracting must be handled manually with our MGA, outside of the APEXA system:

  • Blue Cross Canada
  • The Edge Benefits
  • Group Medical Services
  • La Capitale
  • MyDignity Inc.

The following travel insurance carrier contracting must be handled manually with our MGA, outside of the APEXA system:

  • 21st Century Travel Insurance
  • Allianz Global Assistance
  • Destination Travel Group
  • Ingle International
  • Travel Shield Canada
  • Travelance
  • TuGo

Feel free to reach out to contracting@cartewm.com with your new contract requests and/or contract transfer requests. Alternatively, if the desired insurance carrier is using APEXA (see above list), you can proceed to requesting the contract directly on APEXA by following these steps:

IF YOU REPORT TO AN AGA

  1. Log in to APEXA
  2. From your left-hand side blue menu bar, click on Contract Requests
  3. From your left-hand side blue sub-menu bar, click on New Request
  4. From the list of options, choose I already have an AGA/MGA contract, I need a new Carrier contract
  5. Click on Next
  6. From the drop-down menu, search for and choose the name of the desired insurance carrier
  7. From the drop-down menu, search for and choose the name of your AGA
  8. Click on Submit

Your AGA will receive your request and will approve it. Your request will now be sent to Carte Risk Management Inc. whom will approve it and prepare the respective insurance carrier’s contracting package for you to complete and sign within APEXA. Once Carte Risk Management Inc. sends you the respective insurance carrier’s contracting package for action, you will receive an email from notifications@apexa.ca; please then follow these steps:

  1. Log in to APEXA
  2. On your main dashboard, at the bottom, under Contracts Assigned to Me, you will see the contract from the respective insurance carrier; click on it to open
  3. Please follow the prompts to fill out each tab in the contracting package, sign and submit

Once submitted, your contracting package will arrive to Carte Risk Management Inc., whom will ratify it and forward it to the respective insurance carrier. The insurance carrier will perform its due diligence process and, if they choose to approve your contract, they will do so within the APEXA system; you will receive an email from notifications@apexa.ca to inform that a carrier has approved your contract and Carte Risk Management Inc. will also send you written approval notification via email.

Your request will be sent to Carte Risk Management Inc. whom will approve it and prepare the respective insurance carrier’s contracting package for you to complete and sign within APEXA. Once Carte Risk Management Inc. sends you the respective insurance carrier’s contracting package for action, you will receive an email from notifications@apexa.ca; please then follow these steps:

  1. Log in to APEXA
  2. On your main dashboard, at the bottom, under Contracts Assigned to Me, you will see the contract from the respective insurance carrier; click on it to open
  3. Please follow the prompts to fill out each tab in the contracting package, sign and submit

Once submitted, your contracting package will arrive to Carte Risk Management Inc., whom will ratify it and forward it to the respective insurance carrier. The insurance carrier will perform its due diligence process and, if they choose to approve your contract, they will do so within the APEXA system; you will receive an email from notifications@apexa.ca to inform that a carrier has approved your contract and Carte Risk Management Inc. will also send you written approval notification via email.

8 If applicable, you will apply for life license sponsorship

You will need life license sponsorship if:

  1. You have recently passed the Life License Qualification Program (“LLQP”) and now wish to apply for a life license for the first time; or
  2. You already hold a life license, but are still within your first 2-year sponsorship period, and wish to now transfer your life license sponsorship to a new insurance carrier

At our MGA, we can assist you in obtaining life license sponsorship from one of four insurance carriers: (1) Foresters Financial, (2) Industrial Alliance, (3) La Capitale or (4) RBC Life Insurance. If you wish to request life license sponsorship with one of these insurance carriers, you will have to first request a contract with the respective insurance carrier and advise, within the contract request, that you wish for that respective insurance carrier to sponsor your life license.

The below information is relevant specific to ONTARIO life license sponsorship applications:

To request a contract and life license sponsorship from (1) Foresters Financial, (2) Industrial Alliance or (3) RBC Life Insurance, please follow the below steps. However, to request a contract and life license sponsorship from La Capitale, please email your request to contracting@cartewm.com and a member of the Contracting Department team will send you the La Capitale contract and sponsorship request for signing via DocuSign (as La Capitale is not on APEXA).

HOW TO SUBMIT A CONTRACT AND SPONSORSHIP REQUEST ON APEXA

IF YOU REPORT TO AN AGA

  1. Log in to APEXA
  2. From your left-hand side blue menu bar, click on Contract Requests
  3. From your left-hand side blue sub-menu bar, click on New Request
  4. From the list of options, choose I already have an AGA/MGA contract, I need a new Carrier contract
  5. Click on Next
  6. From the drop-down menu, search for and choose the name of the desired insurance carrier
  7. From the drop-down menu, search for and choose the name of your AGA
  8. Check off the little box that reads “I Require License Sponsorship”
  9. Click on Submit

Your AGA will receive your request and will approve it. Your request will now be sent to Carte Risk Management Inc. whom will approve it and prepare the respective insurance carrier’s contracting package for you to complete and sign within APEXA. Once Carte Risk Management Inc. sends you the respective insurance carrier’s contracting package for action, you will receive an email from notifications@apexa.ca please then follow these steps:

  1. Log in to APEXA
  2. On your main dashboard, at the bottom, under Contracts Assigned to Me, you will see the contract from the respective insurance carrier; click on it to open
  3. Please follow the prompts to fill out each tab in the contracting package, sign and submit

IF YOU REPORT DIRECTLY TO THE MGA

  1. Log in to APEXA
  2. From your left-hand side blue menu bar, click on Contract Requests
  3. From your left-hand side blue sub-menu bar, click on New Request
  4. From the list of options, choose I already have an AGA/MGA contract, I need a new Carrier contract
  5. Click on Next
  6. From the drop-down menu, search for and choose the name of the desired insurance carrier
  7. From the drop-down menu, search for and choose Carte Risk Management Inc.
  8. Check off the little box that reads “I Require License Sponsorship”
  9. Click on Submit

Your request will be sent to Carte Risk Management Inc. whom will approve it and prepare the respective insurance carrier’s contracting package for you to complete and sign within APEXA. Once Carte Risk Management Inc. sends you the respective insurance carrier’s contracting package for action, you will receive an email from notifications@apexa.ca please then follow these steps:

  1. Log in to APEXA
  2. On your main dashboard, at the bottom, under Contracts Assigned to Me, you will see the contract from the respective insurance carrier; click on it to open
  3. Please follow the prompts to fill out each tab in the contracting package, sign and submit

Regardless of the insurance carrier with whom you requested a contract and sponsorship request, once your request has been submitted back to Carte Risk Management Inc., Carte Risk Management Inc. will ratify the contract and forward the contract to the respective insurance carrier. The insurance carrier will perform its due diligence process and, if they choose to sponsor your life license, they will email you the licensing link for the Financial Services Regulatory Authority of Ontario (“FSRA”), which you will be required to fill out online, pay the licensing fee online and submit. Once submitted, you will be required to periodically check FSRA’s website – http://alias2a.fsco.gov.on.ca/agents.aspx – to see when your life license has been posted online with active status. Once posted online and active:

  1. Click on the Download/Print License button to save a PDF copy of your life license to your computer
  2. Send the PDF copy to licenses@cartewm.com
  3. Update your APEXA profile by:
    • a. Logging in to APEXA
    • b. From your left-hand side blue menu bar, click on Profile
    • c. From your left-hand side blue sub-menu bar, click on Licenses
    • d. Click on the + Add button on the top right of your screen
    • e. Fill out all required sections with your life license details and upload a PDF copy
    • f. Click on Save

For the insurance carriers on APEXA, once you’ve updated your APEXA profile with your life license details, the insurance carrier whom sponsored your life license will approve your contract within the APEXA system; you will receive an email from notifications@apexa.ca to inform that a carrier has approved your contract and Carte Risk Management Inc. will also send you written approval notification via email. You will now be able to submit life insurance business to this respective carrier and will also now be able to apply for contracts with other life insurance carriers.

For La Capitale, once you’ve emailed a PDF copy of your life license to licenses@cartewm.com, Carte Risk Management Inc. will email a copy to La Capitale, whom will approve your contract; you will receive an email from contrat.remuneration@lacapitale.com to inform that they have approved your contract and Carte Risk Management Inc. will also send you written approval notification via email. You will now be able to submit life insurance business to La Capitale and will also now be able to apply for contracts with other life insurance carriers.
